Terms and Conditions of LD! Dance Studio Booking
Only board members, teachers, and official team captains are authorised to book the dance studio for free practice sessions (see section 1). For teachers, booking the studio free of charge is only possible if the practice itself is free of charge. All other individuals or groups who wish to use the studio must rent it following the official rental procedures and fees (see document Studio Rules – Rental). This policy ensures fair access and proper management of the studio resources.
1. Studio Bookings
Studio Bookings refer to using the studio free of charge. By booking and using the LD! studio, all users agree to comply with these House Rules. Failure to adhere to the rules may result in penalties, fines, or loss of booking privileges. These rules are designed to ensure the safety, fairness, and proper use of the studio for all members.
1.1. Who Can Book?
- Only board members, teachers, and official team captains are permitted to book the studio and have access to the key.
- If you are permitted to book the studio, you will receive a personalised code to open the front door of the building. Please do not use the doorbell as the association cannot guarantee that someone will be available to open for you.
- All bookings must be made through the official Google Calendar. When time slots are booked, the booker automatically agrees to the terms and conditions of the bookings, including cancellation deadlines and fees.
- If you wish to use the studio outside of the booking hours, you request special permission from the Commissioner of Dance (as they are in charge of organising classes and workshops). The CoD can then add it to the calendar if possible.
1.2. Keybox Rules
- If you are permitted to book the studio, you will receive the key box code to get the studio keys.
- You are not permitted to share this code with anyone.
- Sharing the key box code with others will result in a €10 fine.
- If it becomes known that the key box code was shared without permission, LD! reserves the right to change the code immediately. Access to the new code will be granted by discretion of the board.
1.3. Booking Priority
- Regular classes and LD! events take priority over all bookings, even if the booking was made earlier.
- LD! reserves the right to cancel or modify reservations if necessary for their own purposes.
1.4. Presence and Responsibility
- The person who made the booking must be present during the reserved time.
- Failure to attend will result in a €15 fine.
- The booker is responsible for the studio key during their booking. This means they have to take out and return the key back into the box.
- If the key goes missing, the last person who booked the studio will be held accountable unless proof is provided that the key was returned properly.
- Using the studio without making a prior booking is not permitted and will result in a €15 fine.
1.5. Booking Limits
- Each teacher/team captain may freely book the studio for a maximum of 4 hours per week.
- Bookings exceeding this limit may be canceled to accommodate others if necessary.
1.6. Costs and Fees
- Studio use is free of charge only for free practice sessions (this includes training sessions for teachers, free practice sessions for students, and training sessions for competition teams).
- Private lessons and other paid activities require rental of the studio.
1.7. Cancellations
- Cancellations must be made at least one day before the scheduled booking.
- Cancellations must be shared with others, so it is clear that the studio is free.
- Frequent same-day cancellations disrupt studio planning and availability. If a person cancels on the day of their booking three times or more in a semester, they will be fined €10 for each late cancellation starting from the third occurrence. LD! reserves the right to issue a €10 fine per late cancellation and/or temporarily revoke booking privileges.
1.8. Studio Usage Guidelines
- No food or drinks (except water) are allowed on the dancefloor, to protect the floor (and mirrors). The use of alcohol/ drugs in the studio is strictly prohibited.
- Only proper dance shoes, socks or clean inside shoes can be worn to avoid damage to the floor. Shoes not specifically made for dancing have to have a white sole. High heels need to have heel protectors.
- All users are expected to leave the studio in a clean and tidy condition after use. This includes removing trash, returning equipment to its place, and ensuring the floor is free of debris. In case of failure to comply, LD! reserves the right to issue appropriate cleaning fees and/ or revoke booking privileges .
- The user can by request use the studio’s cleaning supplies to ensure the above conditions are met.
- In case cleaning or hygiene supplies are running low at the studio, the user is obliged to let a board member know of this issue.
1.9. Safety and Liability
- Users are responsible for their own safety and belongings.
- M.S.D.V. Let’s Dance! is not liable for injuries sustained or items lost during use.
